Role Profile
Role Title: EXECUTIVE SECRETARY
Department: FINANCIAL DEPARTMENT
Job Purpose
Implementing instructions, organizing and managing the affairs of the Director's office in daily and routine tasks, and ensuring compliance with the approved system in the Director's office.
In this role, you will be responsible for key performance areas and responsibilities, including but not limited to the following:

Coordinating the schedule of private meetings and monthly tasks for the Department Director.

Preparing the weekly work plan and tasks for the Department Director.

Drafting and printing private letters and correspondence for the Department Director.

Maintaining and archiving all private files in a manner that ensures their security and quick retrieval.

Receiving, forwarding, and indexing incoming mail and correspondence.
-
Maintaining the office's overall appearance in terms of cleanliness and order.
-
Organizing the reception of guests and visitors to the office.
-
Receiving, forwarding, and sending private emails and indexing them.
-
Writing minutes for all meetings and sessions in which the Department Director is a participant.

Preparing for meetings of the Department Director's office or periodic meetings and coordinating and preparing all documents related to the meeting topics.

Following up on the implementation of decisions and procedures taken by the Director and ensuring their execution by the relevant parties according to the specified deadlines. • Receiving and making telephone calls for the Department Director's office and maintaining records of numbers and addresses.
• Organizing and indexing internal reports received from other departments and sections, presenting them to the Department Director, following up on the Department Director's decisions regarding them, and maintaining the relevant records.
• Ensuring the continuous operation of office and electrical equipment in the Director's office, requesting maintenance personnel from within and outside the company, and monitoring the maintenance of all office equipment in the Department Director's office.
• Ensuring the availability of all necessary office and stationery supplies in the Department Director's office.
• Sending invitations to participants in meetings convened by the Department Director and recording this information on the appropriate forms.
• Performing any other tasks or assignments as per the instructions of the company's senior management.
• Implementing company policies, including administrative decisions and circulars.
To be considered for this role, you must meet the following requirements:

Academic Qualification: Secretarial Diploma or Management Diploma

Experience: 6 Years

Proficiency in computer skills and automated systems software
• Fluency in spoken and written Arabic and English
• Ability to prepare the weekly work and task plan for the department manager
• Ability to draft and print letters and correspondence for the department manager, maintain and archive all relevant files in a secure and easily accessible manner, manage incoming mail and correspondence, present it to the appropriate personnel, and index these documents
• Ability to monitor the implementation of decisions and procedures adopted by the manager and ensure their execution by the relevant parties according to the specified deadlines
